Identify what you want to back up (files, photos, documents, system settings, apps)
Choose a backup method (external drive, network-attached storage, cloud, or hybrid)
Check available storage space on the backup destination
Update your operating system and backup software (if applicable)
Create a backup schedule (e.g., daily incremental, weekly full)
Back up essential files first (documents, photos, downloads, desktop)
Use File History / Backup and Restore (Windows) or Time Machine (macOS) for automatic backups
Back up system image (optional, for full restore) using built-in imaging tools
Verify backup settings (include/exclude folders, encryption, versioning/retention)
Connect the external drive and run the initial full backup
Keep the backup destination connected or enable scheduled backups as supported
Enable encryption/password protection for backups
Test restoring a few files from the backup
Confirm backup completion and review logs/errors
Keep multiple backup versions (versioning) to recover from accidental changes
Store at least one copy offsite or in the cloud
For ransomware protection, use immutable/offline backup options where available
Label backup drives and record which drive contains which backup
Periodically check drive health (SMART) and replace failing drives
Re-run backups after major changes (new PC, large file transfers, major updates)
Keep your backup software up to date
Maintain a simple recovery plan (what to restore first, where backup files are located)
